Chantel – Office Manager/Accounts Receivable
Responsible for
1. Client/Applicant procedures and controls including Client Contracts, Forms and Icon & Retainer Appointments*.
     a. Icons are to be called and reminded a day or 2 before the appointment; and
     b. Icons that didn’t show get called soon after the appointment and invited back; and
     c. Icons that showed but did not hire us within 7 days get called asap after that.

Be as diligent as possible in scheduling Icons with an Associate who has earned consideration –

Try to determine if an Icon made an appointment because of a direct relationship with an Associate; if so, the appointment should be with that Associate if practicable.

 

Try to determine if an Icon made an appointment because of a referral from a client or former client; if so the appointment should be with that client or former client’s assigned Associate if practicable.


Try to determine if a new client hired this firm because of a direct relationship with an Associate; if so the referral is valid (the Associate “owns” the Referral and an award is earned – tell the Associate and Ray).

 

1.  Fielding billing and other complaints from Clients.

2.  Proactively teaming with Julie to train new Paralegals and new lawyers to use office accepted billing practices and to insure consistent standards are forever met (underbilling, overbilling and inconsistent billing are to be avoided by proper training).

3. Starting New client RSRs.
4. Accounts Receivable (collections)
5. Crediting Client payments, banking records and bank deposits.

6. Reconciling Bank Statements.

7. Payroll and Direct Depositing of paychecks.

8. Using Intuit to do monthly and quarterly reports and payments.

9. Chauffeuring Lawyers to and from Court.  Chauffeuring Lawyers to and from Court can be impromptu or planned.  In either case, Business Staff chauffeurs need to cheerfully accept such tasks by burying frustrations from the interruption of other plans and show the lawyer how wonderfully magnanimous they really are (no display of annoyance or attitude should be perceptible please).  After all, you are transporting a gifted and brave Warrior to battle (court) and therefore courtesy and respect should be liberally applied. When a lawyer says a departure time to whichever Business Staffer she talks to, that Business Staffer needs to take the responsibly to be the chauffeur or to insure another Business Staffer will be there. The chauffeur is to be in the lobby 5 minutes early, keys in hand and ready for an instant departure with smiles and goodwill. No multitasking or distractive behavior should interfere with being the world’s most attentive chauffeur for the world’s best Family Lawyer.
10. Overseeing front desk phone and in-person communication techniques including listening in on Receptionist phone and person to person conversations.
11. Supporting and helping Legal Staff to insure their business needs are met.
12. Midmo and endmo billing.
13. Building and grounds including (1) supervising the building cleaning service; (2) listing, requesting help on items needing repaired and following through to insure repairs are completed; (3) building esthetics (inside and outside paint); (4) rain gutters are cleaned in late fall after leaves are off trees; (5) gardens (llawn cutting, weeding and setting and winterizing sprinklers, tree watering; (6) changing air conditioning filters regularly and on a timely basis.

15. Testimonials – getting one new positive Client Review on Google or Yelp each month.

16. Staying upbeat, positive, helpful, happy, encouraging your teammates and doing fine work.

17. Retainer Appointments.  Some are impromptu when an Icon retains immediately. This is encouraged by our $125 return fee offer and is also a good business practice.  Therefore Chantel and Mollie who do the Retainer Appointments need to cheerfully accept such impromptu meetings by burying frustrations from the interruption of other plans and show the lawyer and the new client how wonderfully magnanimous they really are (no display of annoyance or attitude should be perceptible please).

18. Always give Marilyn the utmost service and follow through with her personal and business requests.

Mollie – Office Manager/Coordinator
Responsible for
1. Accounts Payable
2. Ordering and checking in office purchases
3. Cruise Directing – every successful cruise (Client experience) requires the presence of a cruise director. Essentially, the cruise director serves as the planner for all types of shipboard entertainment and activities. Along with ensuring that all social and cultural events are well coordinated, the cruise director also often acts as the main source of information for the guests (Clients), ensuring they are having an enjoyable experience.  
4. Errands.

14. Calendaring all staff vacations and distributing such report on 25th of each month.
15. Insurance: keeping good records of each type, shopping rates yearly, making sure new employees are added, ex employees are deleted from policies. Especially important that new lawyers are added to Lawyers Professional Liability Insurance (malpractice).

Front Desk Office & Legal Assistant
1. Greet visitors, potential clients, and clients in a friendly professional manner, determining the nature and purpose of their visit
2. Collect, sort, and distribute faxes, mail, messages and courier deliveries to appropriate staff members
3. Answer multiple incoming telephone lines with professional upbeat phone etiquette, determine purpose of callers, and forward calls to appropriate staff members 
4. Help in scheduling appointments (primarily Initial Consultations), maintaining and updating calendars, and appropriately informing respective staff member of appointments and appointment changes
5. Receive client payments and record receipts for such
6. Indexing of legal pleadings
7. Filing of all documents in physical client files; preparing client files for upcoming court dates (under Mollie’s supervision).
8. Collections on client accounts with outstanding balances
9. Closing of old cases: physically closing binders and organizing files into boxes for storage
10. Appropriate recording of closed file information into computer database
11. Helping staff with running errands, driving lawyers/clients to and from court
12. Emailing monthly referral list to Marilyn and Mollie so Thank-You gifts can be sent
13. Daily housekeeping: keeping reception area tidy, stocking paper in copier weekly, stocking supplies in copy room, keeping candy bowls full, stocking refrigerator with beverages, taking kitchen garbage out when necessary, helping with loading/unloading dishwasher
14. Staying upbeat, positive, helpful, happy, encouraging your teammates and doing excellent work
