ML ENTERING CLIENTS, CONFLICT CHECKING

Other Office Information

For a Returning ML Client with same Opposing Client:
Cancel any new record that you started and update Original Client record with current information and an “Invoicer” note such as: “Returning Client same Opposing Client”. These returning clients will not be listed as New Clients in ModeLaw.

For a Returning ML Client with a new Opposing Client:
1. Edit your new record with Last Name modified to include Opposing Client’s First Name in parenthesis; and
2. Edit original Client Record to include original Opposing Client’s First Name in parenthesis.
Examples: Aboud (Kara), Michael F, and Aboud (Sera), Michael F. These returning clients will be listed as New Clients in ModeLaw.

For a New ML Client with same Last Name, First Name and Middle Initial as an existing client:
1. Enter as a New Client with Last Name modified to include Opposing Client’s First Name in parenthesis; and
2. Edit each different existing Client to include his Opposing Client’s First Name in parenthesis.
Examples: Johnson (Linda), Frank L, and Johnson (Cindy), Frank L.

A last name that is hyphenated should normally be put into “Last Name (married)”.

A Nickname should be entered as part of the first name. Example: first name “Robert (Bobby)”; then client’s full name will show throughout ML as “Smith, Robert (Bobby)”.

Use Conflict Checker before scheduling each new Icon per method below.
1. Enter a new Icon using “Client, New”:  add First and Last Name, add Client Type “Icon”; ensure Opposing Client info is entered. Save.
2. Go to Icon Tracking, New; enter Client name, tab.
3. Open another ML tab, Go to Client.
4. Enable conflict checker.
5. Type in Icon’s Last Name, First Initial (not First Name) to be conflict checked. 

DO NOT INPUT ICON’S OPPOSING CLIENT’S NAME – IT IS UNNECESSARY.
6. If more records besides Icon’s are found, each other name must be scrutinized to ensure no conflict.

      If Icon is male, look for entries for his

            wife’s first name with her married last name and wife’s first name with her maiden last name.

      If Icon is female, look for entries for her husband’s first name and last name.
7. In Edit Icon tracking, check “Conflict Checked?”
An automatic Conflict Checker could shorten the method per below:
1. Enter a new Icon using “Client, New”:  add First and Last Name, add Client Type “Icon”;        

           Insure Opposing Client info is entered. Save.

2. If more records besides Icon’s are found, each other name must be scrutinized to ensure no conflict.

      If Icon is male,

            look for his wife’s first name with married last name and wife’s first name with maiden last name.

      If Icon is female, look for her husband’s first name and last name.

Check box for “Conflicked Checked?” is no longer needed.
